About The Role

Act as a connector and navigator for SDN staff, guests and members of the general public by creating pathways for all visitors to Reception, manage the internal and external reputation of Shared Services (Head Office) by being helpful and supporting all staff by developing and implementing efficient administration systems.

  • Perform reception duties by answering telephone calls in a professional and courteous manner, direct enquiries, take messages and action requests.
  • Greeting all visitors to the office ensuring they 'sign-in' and are made to feel welcome.
  • Coordinate Shared Services function arrangements including but not limited to: setting up and clearing meeting/training rooms and kitchen; ordering and arranging catering; preparing tea and coffee and creating name tags and sign in sheets.
  • Coordinate the packing and distribution of the "blue bags" and SDN's postal needs including the collection of incoming and outgoing mail.
  • Coordinate the ordering and distribution of SDN uniforms, including name badges
  • Manage petty cash accounts and reimbursements and cab charge vouchers.
  • Take first draft minutes for internal meetings and adhoc administration duties as and when required including but not limited to mail outs, formatting reports, travel booking and filing.
  • Maintain appropriate stock levels and order supplies for kitchen, bathroom and office.
  • Step in to the day to day running of Shared Services in the absence of the Office Manager.
  • Work as part of a team with other head office Executive Assistants and Office Manager with specific projects and non-standard tasks.

SDN Children Services is looking for Receptionist or Administrator for their head office in Broadway for a full time role to start ASAP.

About You

  • Previous reception and administration experience
  • Strong customer service skills and a genuine interest in developing relationships with staff and customers
  • Good computer skills including MS Word, Excel and Outlook
  • Ability to organise self and manage own set of routine tasks with minimal supervision in a busy office environment
  • Ability to maintain office procedures, systems and equipment
  • Ability to work as both part of a team and independently
  • Ability to work under pressure, to prioritise tasks and problem solve to meet deadlines
