Within our Pathology Executive Team there is a requirement for an experienced Executive Assistant (EA) to support our COO Clinical, Head of HR and Head of Business Development. The primary role of the (EA) is to provide the support required to ensure that the executives are able to carry out their duties efficiently and effectively by providing the high level administrative and operational support.

Responsibilities for this role will include:
  • Managing an active calendars, composing and preparing correspondence while maintaining the highest degree of confidence; arranging detailed travel plans, itineraries, and agendas
  • Acting as the first point of contact for requests and managing each request to the appropriate point of completion
  • Planning, coordinating and ensuring that schedules are followed and filter requests as required.
  • Communicating directly with the Executive Team and senior managers.
  • Prioritising conflicting needs and handles matters expeditiously, proactively, and follow through.
  • Managing clinical discipline and business development meetings
  • Assisting in coordinating the agenda of meetings and off-sites and briefings
  • Drafting and finalising presentations, reports and other documents
  • Reviewing and maintaining databases and other repositories
Suitable candidates for this role will possess:
  • Strong organizational skills that reflect ability to perform and prioritise multiple tasks seamlessly with excellent attention to detail.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders,
  • Expert level written and verbal communication skills.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capabilities.
  • Ability to work in a team and independently.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment.
  • Strong work tenure; with a minimum of 5 years of experience supporting C-Level Executives
  • IT proficient
